CoElevate Group respects your privacy and handles personal information with care.
This policy explains how we collect, use, store and share personal information across our recruitment, coaching, leadership development, HR and organisational consulting services, webinars and workshops. It also covers our website, enquiries and communications.
Information we collect
The information we collect depends on how you engage with us. It may include:

CVs, employment history, qualifications, professional registrations, work rights, career preferences and availability.
Applications, interview responses, reference information and recruitment correspondence.
Goals, development needs and information you share during coaching or consultations.
Employee, leadership and organisational information relevant to consulting engagements.
Booking and billing details, payment status and acceptance of service terms.

We generally collect information directly from you through forms, applications, emails, telephone calls, meetings, bookings and participation in our services.
We may also collect relevant information from referees, client organisations, prospective employers, recruitment platforms and publicly available professional sources. Where appropriate, we explain the purpose and seek your permission.
You may make a general enquiry without identifying yourself where practicable. We usually need identifying information to support recruitment, process bookings or provide personalised services. If necessary information is not provided, we may be unable to deliver the service requested.
If you provide information about another person, please ensure you are authorised to share it.

Recruitment and organisational engagements
We seek your permission before submitting an identifiable candidate profile or CV to a prospective employer. Relevant information may be shared with authorised referees and verification providers as part of an agreed recruitment process.
For coaching, development or consulting commissioned by an organisation, we clarify the scope of reporting and who will receive it. Commissioning a service does not automatically entitle an organisation to receive everything an individual shares during a session.
Please avoid providing identifiable information about students, colleagues or other people unless it is necessary and you are authorised to share it. De-identified examples are preferred where practical.

Technology, payments and overseas processing
We use technology providers to support our business, including Squarespace for website and related commerce and communications functions, and Microsoft Teams for online meetings and events.
Payment information is handled by the payment provider identified at checkout. Please do not send payment card details by email.
Where we use recording, transcription or AI-assisted tools, relevant information may be processed by those providers. We take reasonable steps to limit the information used, protect confidentiality and review outputs before relying on them. Where appropriate, we explain the intended use and seek consent. This policy does not provide blanket consent to record sessions or use sensitive information in these tools.
Some providers may store, access or process information outside Australia. The countries involved depend on the service and its configuration. You can contact us for details about providers and overseas arrangements relevant to your engagement.
Marketing communications
Where you subscribe or otherwise consent, we may send information about opportunities, resources, events and services.
You can unsubscribe using the link in our marketing emails or by contacting us. Purchasing a service, applying for a role or booking an event does not automatically subscribe you to a marketing mailing list.
We may still send communications necessary to administer a service or booking you have requested.
Meetings, events and recordings
During group sessions, your name, profile and contributions may be visible to others, depending on the platform and settings. Please avoid sharing confidential information about yourself, your employer or other people.
If we intend to record or transcribe a session, we will notify you beforehand, explain how the material will be used and seek any consent required.
Participation does not give us permission to use your image, voice, comments or testimonial in promotional material. We seek separate permission for promotional use.
Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
We retain information for as long as reasonably necessary to deliver services, support authorised ongoing activities and meet legal or recordkeeping obligations. When information is no longer needed, we take reasonable steps to securely delete or de-identify it.
Access and corrections
You can contact us to request access to, or correction of, personal information we hold about you. We may need to verify your identity before responding.
We will respond within a reasonable period. If we cannot provide access or make a requested correction, we will explain the reason, subject to applicable law, and outline available next steps.
Privacy concerns and complaints
If you have a privacy concern, please contact us using the details below.
We will acknowledge your complaint, review the matter and aim to respond within 30 days. If more time is needed, we will explain why and provide an update.
